
2026 Jingle Bell Bazaar Vendor Agreement & Rules and Regulations
Thank you for your interest in participating in the 8th Annual Jingle Bell Bazaar. To help ensure a safe, enjoyable, and successful event for everyone, all vendors must comply with the following rules and regulations.
By submitting your vendor registration, you acknowledge that you have read, understood, and agree to abide by these terms.
Event Information

Jingle Bell Bazaar is held rain or shine unless canceled by the City of Tampa or due to severe weather or emergency conditions.

Event management reserves the right to make changes to the event schedule or layout when necessary.
Registration, Payment & Refunds

Vendor booth fees are due at the time of registration.

Vendor registrations are not considered complete until payment has been received.

Vendor booth fees are non-refundable, except when a vendor application is declined by Jingle Bell Bazaar.

If the event is canceled due to circumstances beyond the control of Jingle Bell Bazaar, including severe weather or government action, refunds will not be issued.
Booth Assignments

Standard booth spaces measure 10' x 10'.
-
Vendors requesting a double booth will receive two adjoining spaces, subject to availability.

Booth assignments are made solely by Jingle Bell Bazaar.

While every effort will be made to honor booth location requests, specific booth locations cannot be guaranteed.
Vendor Check-In & Setup

Vendor check-in instructions and unloading information will be emailed approximately two days before the event.

All vendors must be completely set up by 11:30 AM.
-
Vendors must remain open and staffed throughout the event and may not begin dismantling their booth before 6:00 PM without prior approval from event management.
Tent & Booth Requirements

All 10' × 10' tents must be a minimum of 2 feet apart.
-
Tents may not be connected or tied together.
-
Tent stakes are not permitted.
-
Tent legs must be secured with a minimum of 40 pounds of weight per leg.

Vendors cooking beneath a tent must comply with all applicable City of Tampa permitting and flame-retardant certification requirements.
Fire & Safety Compliance
All vendors are responsible for complying with applicable City of Tampa Fire Rescue requirements.
Event staff or Fire Marshal personnel may inspect booths, tents, food vendors, and food trucks before or during the event. Vendors who fail to meet required safety standards may be required to correct deficiencies immediately or cease operations until compliance is achieved.
Electricity

Electricity is available in certain areas of the park but cannot be guaranteed for every booth.

Vendors requesting electricity must bring their own outdoor-rated extension cords (100 feet recommended).

Vendors are responsible for ensuring that all electrical equipment is safe and in good working condition.
Food Vendors

Food vendors selling meals or entrées must register as a Food Vendor.

Vendors selling desserts, baked goods, candy, packaged snacks, or similar retail food items may register as a Retail Vendor unless otherwise required by event management.

All food vendors must possess all required licenses, permits, and insurance required by the City of Tampa and applicable health authorities.

Vendors cooking on-site must provide appropriate fire extinguishers and follow all fire safety regulations.

Food vendors are responsible for properly disposing of cooking oil, grease, food waste, and trash.

Food preparation areas must be adequately protected to prevent damage or staining to park property.
Products

Vendors may sell only the products listed on their registration application.
-
Any changes to merchandise after approval must be approved by Jingle Bell Bazaar prior to the event.

Jingle Bell Bazaar reserves the right to prohibit the sale of products that are unsafe, offensive, counterfeit, illegal, or inconsistent with the family-friendly nature of the event.
Vendor Responsibilities

Each vendor is responsible for:

Supplying their own tent, tables, chairs, displays, and booth equipment.

Protecting their merchandise and personal property.
-
Collecting and reporting all applicable sales taxes.
-
Keeping their booth clean, organized, and attractive throughout the event.
-
Removing all trash, boxes, displays, and merchandise from their booth space after the event.
-
Leaving their booth space in the same condition in which it was received.
Vendor Conduct
Jingle Bell Bazaar is a family-friendly community event.
Vendors agree to:

Conduct themselves professionally and respectfully at all times.
-
Refrain from offensive language, inappropriate behavior, harassment, or disruptive conduct.

Follow all instructions provided by event staff and volunteers.
Failure to comply may result in removal from the event without a refund.
Photography & Marketing
By participating in the Jingle Bell Bazaar, vendors grant permission for photographs and video of their booth, products, business name, logo, and representatives to be used by Jingle Bell Bazaar for promotional, marketing, social media, website, and advertising purposes without compensation.
Liability
Vendors participate in the event at their own risk.
Jingle Bell Bazaar, its organizers, volunteers, sponsors, the Ybor City Chamber of Commerce, the City of Tampa, and event partners shall not be held responsible for any loss, theft, damage to property, personal injury, accidents, or claims arising before, during, or after the event.
Vendors are responsible for maintaining appropriate insurance coverage for their business, products, equipment, and personnel.
Right to Refuse or Remove Vendors
Jingle Bell Bazaar reserves the right to accept or decline any vendor application and to remove any vendor from the event whose products, conduct, or booth presentation are determined to be inconsistent with the event or in violation of these rules. Vendors removed for violations will not receive a refund.
Vendor Agreement
By submitting your registration, you certify that:
